Why many merchants are rethinking driver management

Ask most merchant transport and branch managers what takes up their time and driving schedules are unlikely to be the only answer.

Today’s transport operation comes with an ever-growing administrative workload. Driver licences need checking, training records have to be maintained, certifications renewed and compliance documentation kept up to date. Here are just some of the checks that need to be carried out to make sure merchant drivers have all the licenses and documentation they need:

  • Driver CPC expiry dates
  • Digital tachograph cards
  • Medical renewals where applicable
  • HIAB/Moffett certification
  • Training records.

Alongside that comes holiday planning, sickness cover, agency bookings and the challenge of finding suitably qualified drivers at short notice.

Individually, none of these tasks seems particularly significant. Collectively, however, they can consume a surprising amount of time every week.

For builders’ merchants, this administrative burden has increased steadily as compliance requirements have become more rigorous and the industry has, rightly, placed greater emphasis on safety and accountability. Every driver arriving at a branch needs to have the appropriate licence, qualifications and evidence of competence for the work they will be carrying out. Records must be accurate, available and current, and missing paperwork or expired certification can quickly create operational problems – even potentially delaying deliveries.

The challenge becomes even greater when temporary drivers are required. Transport teams often have to spend their valuable time checking qualifications, confirming licences, arranging inductions and verifying experience before a driver even begins their day’s work. During busy periods, that process can become a significant distraction from the day-to-day operation of the fleet.
